Things you need to do before setup QuickBooks Payroll
This is the information you need to have before setting up payroll in QuickBooks Online and Desktop.
Employer’s Information
- Bank Account Information: Account Number, Direct Deposits and electronic payment method( like ACH, credit card, debit card, etc.)
Employee compensation and benefits
- Compensations: Employee’s hourly wages, bonuses, salaries, commissions, tips or any other additional compensations you provide.
- Benefits: Any benefits you offer to your employees like Health insurance, retirement plans, sick/vacation leaves, etc.
- Additional Allowances: Child support garnishment, mileage, travel reimbursement, etc.
Employee’s Information
- W-4 Form: This IRS form is prepared for the employer to deduct some amount of money from the paycheck as federal tax.
- Tip: If you don’t provide tip then enter “Single” and “0” allowances. If you want then change these values later.
- Pay Rate: How much you pay your employee per hour or the salary of each employee.
- Paycheck Deduction: Employee’s contribution to health insurance, pension, or retirement plan. This amount is deducted from the paycheck.
- Pay Schedule: After how many days you pay to employees like every week, after 2 weeks or monthly.
- Date of Hiring/Termination: Hire date of each and every employee.

Tax Information
- Federal Employer Identification Number(FEIN) and state agency identity number: You need to add EIN to QuickBooks Payroll and to file & pay taxes. For this, you need to contact the IRS or state agencies to apply for this unique ID.

Direct Deposit
If you are using the QuickBooks Direct Deposit feature for the payroll directly into their bank account then you need to have the employee’s bank account number and routing number as well.
If in this calendar year, you have already paid some of your employees then you need to record that amount in QuickBooks so that it can accurately calculate the new paychecks and complete tax forms as well.
- For the Current Year: You need to enter the payroll information for each paycheck.
- For each prior quarter of this calendar year: You need to provide a summary of all employees and total company payroll.
- Year-to-date totals for each employee: Summary of the employee.
- Year to date totals for each employee as of the last paycheck in the previous quarter: summary by the employee.
Liability Payroll
- You need to submit all the copies of the payroll liability check for the current quarter.
- Summary of payroll liability payment for each prior quarter of this year.
How to Setup payroll in QuickBooks
You first need to set up a payroll service before learning how to do payroll in QuickBooks and for this, you simply need to follow the procedure step by step.
- In the navigational panel on the left side click at the ‘Employees’.
- If you already have a subscription for QuickBooks Payroll then you can simply set up payroll by clicking on the ‘Get set up’.
- But if you don’t have any payroll subscription yet then you need to click on the ‘Add Payroll’ and then select one of any three listed payroll services. (Basic Payroll, Enhanced Payroll or Assisted Payroll)
